The Administration Software

The 20/20 Insight GOLD Administration Software is the program you use to manage your assessment projects. Use the Administration Software to:

• Set up subjects, respondents, survey questions, and rating scales
• Make, distribute and collect respondent assessments
• Print individual reports and summary project reports
• Make copies of the IDP software for follow-up development
The Administration Software is confidential.
• Password for administration software:

- The Administration Software is protected by a password, ensuring that only authorized people have access to the program.
- Password for each project: Each feedback project is protected by its own password, so only administrators who know the password can access a specific project.

 

Respondent Software

The Administration Software makes it easy to create respondent software for each person providing feedback in a project. A user-friendly, intuitive interface makes completing the assessment quick and easy.

The Respondent Software can be distributed via any of the following media:

• Local area network
• Internet/interoffice email
• Diskettes
• Paper
• Web-based (requires additional purchase of WebResponse)
• Passwords. The respondent software will not open without entering a password.
• Encryption. Passwords, ratings and comments on the respondent software are encoded so that they can't be read by anyone who opens a data file.
• Anonymity of feedback. Respondent names aren't collected with ratings. Only average scores are reported- not individual ratings.

 

Individual Development Planning Software (IDP)

Minimum computer and printer capabilities needed to operate the 20/20 Insight GOLD program:

Media Options

There are five media options available for use within the 20/20 Insight GOLD program. The options available are diskette, network, email, paper and web.

Web

WebResponse is an optional module that lets respondents fill out their assessment via the web. An email will be sent to respondents which will include a URL to the assessment they fill out.

Diskette

Each respondent will be given their own diskette assessment generated by the program. After filling out the assessment the diskette will be returned to the 20/20 Administrator to collect into the program.

Network
A shared/mapped folder is required for respondents to fill out their assessment. This shared/mapped folder can be on any file server and contains the survey, the respondent software, and the responses. To notify respondents of their assessment, the 20/20 Administrator will need to use a fully MAPI compliant email program. Instructions in the email notification can be modified by the 20/20 Administrator. While the responses are stored in the shared directory, they are strongly encrypted by the software using the 56-bit DES (Data Encryption Standard) method and won't decrypt without a valid password.

Email**
In order to use 20/20 's email capability, the 20/20 Administrator must have a fully MAPI compliant email program. Respondents can have any email program to receive the email notification, but must be able to receive 2 attachments. The respondent will be emailed 2 files, an .exe and *.req. The .exe is the executable file and the *.req holds the survey. The respondent will download both files either onto a blank disk or to a folder on their hard drive. The file they email back to the administrator will be the response file, *.rsp. Instructions sent to respondents filling out the survey can be modified by the 20/20 Administrator.

MAPI is an acronym for Messaging Application Programming Interfaces. 20/20 Insight GOLD uses MAPI to send:

• E-mail notification with network assessments
• Internet/interoffice e-mail assessments
• Web notification e-mail (web capability purchased separately)

MAPI is a Windows sub-system which allows several e-mail programs to talk to one another. Mail-enabled applications like 20/20 Insight GOLD use MAPI to create, transfer, and store messages, as well as handle complex addressing information.

By default, the Windows messaging subsystem is supported with Microsoft Mail. In other words, by default, Windows MAPI is 'hard-wired' to use the Microsoft Mail. However, this DOES NOT mean you have to purchase one of these e-mail programs in order to use the automated e-mail feature within 20/20 Insight. On the contrary, as long as your e-mail program is MAPI compliant, you will be able to use 20/20 Insight GOLD's automated e-mail feature. There are several ways to find out if your e-mail program is MAPI compliant:

• Consult your Information Services, Technical, or Computer department.
• Consult any documentation you may have about your e-mail program.
• Search the internet.

Paper
Paper assessments is a media option for respondents who do not have access to a computer. The administrator will print and give the paper assessment to the respondent. Once the paper assessment is completed by the respondent, the 20/20 Administrator will need to enter the data into the 20/20 program and collect it.
